Viewing and Managing EquipmentShare Rentals in T3

Learn how to make the most of your EquipmentShare rentals by managing them from the T3 Rentals page.

The Rentals page in T3 provides a centralized, flexible workspace for managing all of your EquipmentShare rentals. With built-in filters, usage tracking, and powerful in-row actions, fleet managers can easily track status, reduce idle time, and make informed rental decisions, without jumping between tools.

Here are just a few ways teams use the T3 Rentals page:

  • Jobsite coordination: Filter by location or branch to ensure each site has the right mix of equipment

  • Cost control: Monitor spend trends and export reports for finance or job costing

  • Utilization checks: Identify idle assets and off-rent or reallocate as needed

  • Accountability: Track who placed the order, what asset is where, and when it’s scheduled to come back

  • Service follow-up: Quickly flag rentals that need maintenance or troubleshooting

Use this bar to triage your fleet before digging into the table.

Filtering and Customizing the Table

Main Filters

Use quick filters at the top of the table to narrow down by rentals that are reserved, on-rent, or previously rented.

The filters you previously used will display at the top of the table.

More Filters

  • To apply additional filters, select More Filters. Apply filters such as:

    • Equipment Class

    • Jobsite Name

    • PO Number

    • Branch

    • Make / Model

    • Sub-Renter

    • Ordered By

    • Has Keypad

  • Once applied, filters will appear pinned at the top of the table for quick reference and usage.

  • To clear the selected options within the filters, click the Clear Filters button on the right side of the filter bar.

Filter examples:

  • Show pricing and duration for billing review

  • Focus on jobsite and rental branch for field coordination

  • Highlight utilization and indicators for asset management

To customize columns:

There are two ways to show, hide, or organize columns:

Option 1: Use the Column Chooser

  1. Click the column chooser icon.

  2. Select or deselect up to 30 available fields.

3. Reset the columns by selecting the Reset icon.

Option 2: Use Column Headers

  1. Hover over any column header (e.g. "Status").

  2. Click the three-dot menu.

  3. From here, you can:

    • Sort ascending/descending

    • Pin the column to the left or right

    • Hide the column

    • Access column manager

Option 3: Use Column Drag & Drop

  1. Click any column header (e.g. "Status").

  2. Drag the column where you'd like it placed.

Sorting Columns

Some columns allowing sorting to quickly organize your view.

  • Hover over a column header (e.g. Status, Rental Period).

  • Click the three-dot menu.

  • Select Sort by ASC (ascending) or Sort by DESC (descending).

For example, sort by Rental Period to see which rentals have been on-rent the shortest or longest.

Current state of the rental (e.g., On-rent, Complete, Awaiting pickup)

Visual 7-day usage indicator (green dots = days used)

Rental & Order ID

The EquipmentShare Rental and Order ID

Location / Jobsite

Location where the asset is assigned

PO # / Ordered By

Who requested the rental and which PO it’s tied to

Rental Period / Dates

Start and end date range or exact dates

Price per Day/Week/Month

Contracted billing rates for the rental

Indicators

Flags for issues like low utilization or high

Actions

Tools for off-renting, downloading, assigning POs, and more

Use columns like Rental Branch or Salesperson to filter by project type, responsibility, or region.

Spot and Solve with Utilization

To view full usage details:

  1. Click the utilization indicator (green dots) in the Utilization column.

  2. A panel opens showing:

    • Daily engine hours

    • Comparison to similar equipment benchmarks

    • Live T3 Map view from the View Live Location button

    • Off-Rent button

    • Asset usage history from the View History button

Viewing usage trends helps identify underused equipment. If an asset shows low or no utilization, it can be off-rented directly from the panel, helping teams avoid unnecessary charges and reduce fleet bloat.

Take Action Right from the Table

You can manage most rentals directly from the table without navigating away. Here’s how to take action from each row:

  • View on T3 Map: Click the Asset ID in the Product column.

  • Send keypad codes via text: Click the keypad icon, select Send via text, enter the phone number, and click Send Now.

  • View rental timeline summary: Click the Rental ID in the Rental & Order ID column.

  • Open the utilization panel: Click the green or grey dots in the Utilization column.

  • Off-rent or schedule pickup: Click Off-rent in the Actions column. You can off-rent one or multiple rentals at once.

  • Request service: Click the down arrow in the Actions column and select Request Service.

  • Assign or update a PO: Click the down arrow in the Actions column and select Assign PO.

  • Download order confirmation: Click the down arrow in the Actions column and select Order Confirmation.

  • Export all data or visible columns using the download button.

View Full Rental Details

For a complete view of any rental:

  1. Click the Rental ID.

  2. Select View rental details.

You’ll see:

  • Equipment details (make, model, serial number)

  • Full rental timeline: ordered, delivered, off-rented

  • Map showing jobsite drop-off and EquipmentShare branch

  • Billing breakdown with pricing and duration

  • PO and sales rep details

  • Action button to off-rent, request service, assign PO, and download an order confirmation.

This view gives you everything you need to track and close out a rental.
