Archiving and Restoring Assets in T3

Learn how to archive and restore assets for better fleet management in T3.

Archiving allows you to move a non-active asset into a locked, read-only state while preserving its complete history. Archived assets are removed from active lists but can be viewed or restored at any time.

Archiving keeps historical data intact. Deleting permanently removes the asset and its history and cannot be undone.

When an Asset Can Be Archived

Only non-active assets can be archived.

An asset is considered active if it is:

  • Currently on a trip

  • Assigned to an open Work Order

  • In an active or future rental period

  • Paired through the E-Logs mobile app

If an asset is active, an error message will appear explaining why it cannot be archived.

Archiving an Asset

You can archive an asset from the Asset Details page or the Assets table.

From Asset Details

You can archive an asset from its details page.

  1. Open the asset and select the Edit tab.

  2. Scroll to the bottom and select Archive Asset.

  3. Choose a reason:

    • Stolen

    • Retired

    • Sold

    • Totaled

    • Scrapped

    • No reason provided

  4. Select Archive.

From the Assets Table

You can archive an asset from the main Assets page.

  1. Locate the asset row.

  2. Select the actions ellipsis (⋯).

  3. Choose Archive asset.

  4. Select a reason and confirm.

Archive Multiple Assets

  1. Select one or more assets.

  2. Choose Bulk edit and then Archive.

  3. Select a reason and confirm.

Device Handling During Archiving

When an asset is archived:

  • For all reasons except Stolen, assigned trackers or cameras are automatically unlinked.

  • For Stolen assets, devices remain linked to support recovery efforts.

Viewing Archived Assets

Archived assets are removed from active views such as the Map and Assets table.

To view archived assets:

  1. From the Assets page, select the ellipsis (⋯) at the top of the page.

  2. Choose View archived assets.

The Archived Assets table displays asset details and reason codes.

You can search, filter, sort, pin, and customize columns in this view.

Restoring an Archived Asset

Archived assets can be restored at any time with all history preserved.

To restore an asset:

  • From Asset Details, select the Edit tab and choose Restore Asset
    or

  • From the Archived Assets table, select the actions ellipsis (⋯) and choose Restore asset

Once restored, the asset returns to the active list.

Best Practices

Archive instead of delete when possible
Archiving preserves historical data and reduces risk.

Delete cautiously
Deletion permanently removes asset data and cannot be undone.
