Using Time Cards as a Supervisor or Administrator

Getting Started

This guide provides an overview of Time Cards for a supervisor or administrator using the Time Cards browser app.

Adding Employees

  • From the T3 Fleet web app, select Company from the left menu.

  • Select the Users tab across the top.

  • From the Users table, select the Add User button.

  • Complete the Profile form including the employee's schedule, overtime rule, and assigned branch.

  • Select Create.

Editing/Deleting Employees

  • From the T3 Fleet web app, select Company from the left menu.

  • Select the Users tab across the top.

  • From the Users table, find the employee’s row, and select the Actions button (on the far right).

  • Select Edit or Delete.

  • Make your changes to the Profile form and click Save.

Adding a Time Entry ("Clocking In") and Revising an Employee's Time Entry

  • From the T3 Time Cards web app, open the Filters.

  • Find your employee using Filters. Once selected, a popover Filters drawer will display.

  • From the Filters drawer, select Branch, Group, Employee, and Role (as assigned in T3). Advanced filters let you find employee entries based on Work Time, Overtime, Timesheet status, and Notifications.

    • Note: Any recorded time that doesn't match the selected filter will drop from the displayed results when applying filters.

  • After applying filters, you can click an employee's name to see their daily time entries.

    • You can view the visual insights across the top from the employee's time card to understand overtime, approvals, and hours clocked.

  • Select the date link to review the daily time entries.

  • Select the Edit icon on the far right from the day's time card to make revisions to the Event Type, Branch, Work Order, Asset, Job, Work Code, Start Time, and End Time.

  • Select Add new entry to create a new time entry.
    Note: Adding a new entry is how you'll "Clock In" your employees for their time worked.

  • Once the updates are complete, select the Save icon.

Approving Employee's Time Cards

  • From the T3 Time Cards web app, open the Filters.

  • Open the Filters drawer and select the Group or Branch. From the Advanced Filtering options, select Timesheet Status: Unapproved. And then Apply filters.

  • Select the employee’s name link from the list. Tip: Use the search field to locate the employee by name or ID.

  • Select the employee name link. The employee's daily time entries will display.

  • The dates that need approval from the employee’s time card will be noted in the Approval Status column by stating Unapproved.

  • Click the date link for each unapproved row to review the time card.

  • Click Approve on the top right corner.

    OR

  • Approve multiple dates from the employee’s timecard table by selecting the checkbox next to unapproved dates.

  • Select Approve in the top right. The entries’ status will change to Approved.

Exporting Time Entries for HR Payroll Purposes

  • From the T3 Time Cards web app, open the Filters.

  • Find your employee using the Filters. Then select the Reporting Period.

  • Select the expand arrow in the Export data box, which will show Processors. For a full list of the Payroll files, see the Exporting Time Cards for HR Payroll article.

  • Select your file and then the Send icon arrow.

  • Enter your email address and select Send.

  • The file will be exported to your inbox. Important: Please leave the file formatting as is; it was designed to accommodate the payroll provider you selected.
